Marketing Operations Coordinator

Job summary

The job requires a proactive and detail-oriented Marketing Coordinator to support our Global Marketing Team, Business Development Team, and the WHC Business Unit Head. This role is pivotal in ensuring the smooth global collaboration within the WHC multi hub organization (Budapest, Geneva, Liege) by coordinating activities, internal business events, and key partner meetings. The ideal candidate is proactive, highly organized, can effectively communicate in English and thrives in a dynamic environment

Responsibilities

Marketing & Business Development Support - 30% of the worktime

  • Assist in the execution of marketing campaigns and initiatives.
  • Coordinate with internal teams, affiliates and external vendors to ensure timely delivery of marketing materials.
  • Support and independently drive the preparation of presentations, reports, and marketing collateral.
  • Support digital marketing activities, including content updates and tracking KPIs
  • Conduct market research and competitor analysis to support strategic planning.
  • Provide market and desk research support to the Business Development team

Event Planning & Coordination – 20% of the worktime

  • Organize and manage internal business events, including Global Brand Team Meetings, workshops, and training sessions.
  • Plan and execute Key Partner Meetings, ensuring all logistics (venue, catering, materials, tech setup) are handled efficiently.
  • Maintain event calendars, send invitations, track RSVPs, and manage post-event follow-ups.
  • Ensure smooth coordination with external stakeholders, including travel and accommodation arrangements where needed.

Administrative & Operational Tasks – 50% of the worktime

  • Maintain marketing databases, contact lists, and shared drives.
  • Schedule meetings, take minutes, and follow up on action items.
  • Responsible for budget tracking and invoice processing related to WHC BU (marketing, business development, program and portfolio management) activities.
  • Support Business Unit Head with budget planning.
  • Provide administrative support to Global Marketing and Business Development Team.

Qualifications

BSc/MSc (Economist)

Language skills: fluent professional level English

Experience: 1-3 years marketing/finance experience

Special requirements: financial experience, SAP knowledge is an advantage
